JOB TITLE: Coordinator I, Payroll Administration FLSA: Non-Exempt GRADE: B23
LOCATION: Lone Star College-North Harris
REPORTS TO: Coordinator I, Payroll Administration

PURPOSE AND SCOPE:

Oversight of Administrative functions in payroll/administrative service office. Responsible for the coordination of support functions such as scheduling, maintenance, communications, equipment, workflows, supplies, information processing and staff support.

ESSENTIAL JOB FUNCTIONS:

  1. Responsible for all aspects of college-based payroll function, excluding adjunct employees. Ensures compliance with government and college regulations, policies, and procedures. This would encompass Lone Star College-North Harris main campus, Lone Star College-Greenspoint Center, and Carver Center.

  2. Responsible for Payroll/HR data integrity for main campus and centers. Includes training on proper data input, collection of data and follow up on all data problems.

  3. Responsible for accurate payment of all FT/PT employees including stipends and exception payment entries made into Colleague.

  4. Balancing full-time and part-time employee time card audit reports each pay period; meets District payroll deadlines.

  5. Coordinates and controls payroll disbursements.

  6. Prepares required calculations for payroll adjustments and corrections as needed.

  7. Assists employees in resolving payroll discrepancies. Investigates and resolves payroll related questions.

  8. Serve as College liaison with District HR and District payroll with emphasis on problem solving and information exchange.

  9. Maintains wage and benefit files for all part-time employees.

  10. Assists HR Coordinator as needed. Coordinates benefit related payroll adjustments.

  11. May assist with other Business Office functions during peak demand time.

  12. May schedule work for part-time assistants.

KNOWLEDGE, SKILLS, EXPERIENCE:

High School diploma required (Associate’s degree preferred). Five years experience in administrative support. Three+ years experience in coordination/supervision role. Proficiency in use of personal computer workstation with standard software applications. Excellent interpersonal and organizational skills are required to interact with subordinates and direct/coach work efforts. Ability to organize functions to ensure compliance with due dates/deadlines and regulatory requirements. Excellent interpersonal relationship and communication skills. Ability to transfer knowledge to subordinates and higher authorities.

EQUIPMENT USED:

PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment as required.

CONTACTS:

College/Staff – Regular contact with college administrators, department heads, faculty members and employees to exchange information, provide service and/or resolve problems.

External – Provides employment verification as requested by written documentation.

COMPLEXITY/EFFORT:

Position requires accuracy and attention to details; analytical ability to conduct basic research, analyze data and prepare reports, good organizational skills and ability to prioritize duties. Ability to deal with confidential information required. Job duties require little physical effort and few health and/or safety precautions.

WORKING CONDITIONS:

Work is performed in a climate controlled office environment, not readily accessible to the public. Job duties require little physical effort. Requires work characteristics supportive of collaborative work efforts in a collegial atmosphere.
