PURPOSE AND SCOPE:
Oversight of Administrative functions in a large/significant division or area. Responsible for the coordination of support functions such as scheduling, maintenance, communications, equipment, workflows, supplies, information processing and staff support.
ESSENTIAL JOB FUNCTIONS:
Provides secretarial support to the Department of Human Resources.
Coordinates coverage for departmental phones, reception area and applicant requests. Responds to routine inquiries from employees and applicants, directing them to the appropriate authority and/or obtaining appropriate information for the visitor.
Organize and coordinates general office operations and procedures such as flow of correspondence, maintenance of departmental leave calendar, and incoming HR forms and documents.
Develops reports and charts for presentations.
Arranges space for meetings schedules departmental meetings, workshops, and conferences.
Maintains records of departmental budget and expenditures. This includes filing expense reports, tracking expenses and assisting with annual departmental budget preparation.
Produces, HR Quarterly, projects, salary schedules, HR forms, handouts. This may include typing, coordinating, proofing, printing, and purchasing of such materials.
Orders office supplies, pays bills and coordinates maintenance of equipment.
Assisting in maintenance of the HR website.
KNOWLEDGE, SKILLS, EXPERIENCE:
Five years progressively responsible secretarial exp.; exceptional proofreading skills; college level verbal & written communication skills; skilled in the use of microcomputer software for word processing, spreadsheets & databases; proficient in the use of Windows, Microsoft Word, & Excel; ability to manage multi-activities & tasks efficiently in a fast paced environment.
EQUIPMENT USED:
Standard Office equipment utilizing MS products.

Internal: Extensive contact with all levels of employees.
External: Extensive contact with public and prospective employees.
COMPLEXITY/EFFORT:
Position requires ability to handle multiple tasks simultaneously. Must be able to maintain confidentiality.
WORKING CONDITIONS:
Work is performed in air conditioned office environment.
