PURPOSE AND SCOPE:

Responsible for the collection, analysis, entry, and reporting of student data. Ensure adherence to state guidelines and compliance with deadlines.

ESSENTIAL JOB FUNCTIONS:

  • Facilitate the daily work of data entry clerks and support personnel to manage a heavy load of student data input into the state ACES system and college’s Colleague system.

  • Contact teachers at regular intervals to request data completion. Receive, check for accuracy and completion, and prepare data for entry in both systems.

  • Train clerks to use the ACES database.

  • Keep informed of ongoing changes and developments in the ACES system as they pertain to data entry, reporting requirements, and system capabilities.

  • Work with Assessment Coordinator to be able to report all student baseline and progress assessment data on a quarterly and semester basis.

  • Work with instructors when data is incomplete or inaccurate to ensure all student demographic data, personal profile, assessment, progress, outcome and achievement, attendance and contact hour information is reported appropriately, on the expected form, complete according to state guidelines, and in a timely manner.

  • Analyze data sheets to determine appropriate reporting options for each student.

  • Contribute to the process of data input in the ACES system to meet state deadlines for reporting purposes.

  • Provide Program Director with cumulative, site, level, and individual reports as needed.

  • Assist in the operations of the adult education program in a clerical capacity.

KNOWLEDGE, SKILLS, EXPERIENCE:

  • High School diploma or GED required.
  • Three + years related work experience.

Preferred:

  • Associate’s degree.
