JOB TITLE: Clerk II, Student Support FLSA: Non-Exempt
LOCATION: As Assigned GRADE: A12
REPORTS TO: As Assigned

PURPOSE AND SCOPE:

Under direct supervision, performs routine functions in Student Service area. Post, processes, verifies information and maintains files (including computerized files such as spreadsheets). Ensures accuracy of data or information. Ensures that procedures are followed and that appropriate authorizations are secured. Responsible for registration and information functions.

ESSENTIAL JOB FUNCTIONS:

  • Meet and greet visitors and students. Customer service focus. Provide friendly, professional assistance to students, faculty, staff and general public.

  • Keep area stocked with forms and supplies. Provide forms to staff, students, faculty and public as requested.

  • Access computer for student information - schedules, test scores, transcript inquiries, class enrollment.

  • Assist in final prep and mail out of requested information - transcripts, enrollment verifications.

  • Assist with registration functions.

  • Assist faculty with operational needs such as opening classrooms, contacting security or other support services.

  • Process all mail and telephone correspondence.

  • Answer telephone, file, type, and general clerical duties.

  • Assist with hiring, training of PT registration staff.

KNOWLEDGE, SKILLS, EXPERIENCE:

Required:

  • High School diploma.
  • Knowledge and understand of the operations of an educational institution.
  • Working knowledge of personal computers and software, such as spreadsheets and word processing programs.
  • Ability to perform routine audit functions, problem resolution for general office procedures and functions.
  • Excellent oral and written communications skills to inter act with others at various levels.
  • This position requires work characteristics supportive of collaborative work efforts and a collegial atmosphere.

Preferred:

  • Associate’s degree.

EQUIPMENT USED:

PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone, fax, laminating equipment and other general office equipment.

CONTACTS:

Internal:  Students, faculty, and staff as necessary to provide or obtain information to carry out the functions of the position.

External: Contact with independent vendors for service/order supplies etc. may be required.

COMPLEXITY/EFFORT:

This position requires attention to details and basic knowledge of the general office use of computers and software applications. Requires a working knowledge of general office procedures and practices and the ability to articulately interpret established guidelines for students and other personnel.

WORKING CONDITIONS:

Work is performed in a climate controlled office environment not readily accessible to the general public. Job duties require little physical effort. Safety and health precautions command to office environments apply. Requires work characteristics supportive of collaborative work efforts in a collegial atmosphere.
