PURPOSE AND SCOPE:
Assists with directing and coordinating department activities. Implements processes to ensure effective operations of department. Analyzes reports, records, and directives, and confers with others to obtain data required for planning department activities such as prioritizing work, status of work and problems encountered. Assigns, or delegates responsibility for specific work or function activities. Gives directions, resolves problems, prepares schedules and sets deadlines to ensure timely completion of work. Coordinates with other departments. Monitors costs and budgets. Provides input into budget planning. Evaluates procedures, practices and personnel. Responsible for business operations of Child Development Lab School. Assists manager with operational and personnel processes and operations.
ESSENTIAL JOB FUNCTIONS:

Responsible for tracking client accounts along with other NHC offices to ensure all accounts are collected in full; both parent fees and grant money.

Responsible for establishing and maintaining current computer records of all children.

Provides monthly analysis of budget to manager and makes recommendations for changes if needed.

Provides coverage in the classrooms if needed to ensure compliance with licensing and accrediting agencies.

Ensures effective daily operations of center, including, but not limited to; front desk coverage, daily follow up on all inquires, tours and orientations, preparation of weekly schedules for full and part time staff, payroll input and tracking, menus, etc.

Maintain, update, and submit all necessary paperwork for licensing and other agencies (USDA paperwork, Neighborhood Centers, INC paperwork including confirmations, fees, caseworkers and start/end dates). Provide regular reports on status.

Track and maintain compliance with grants.

Supervise part-time staff including hiring, performance management, timekeeping, compliance with Lone Star College System policies, training, personnel files, etc.

Responsible for monthly fire drills.

Maintain and train staff on the Office Center Systems.

Maintain waiting list; work with the manager to move children into the school.

Work with marketing and manager to update and produce flyers, ads and booklets for school. Assist with marketing as needed.
KNOWLEDGE, SKILLS, EXPERIENCE:
- Associate’s degree required; Bachelor’s preferred in Child Development or related field or equivalent combination education and experience.
- Three years working with preschool children.
- Computer skills for office setting.
EQUIPMENT USED:
PC workstation running on a LAN in a MS Windows environment, calculator, phone, fax, laminator, copier and other general office equipment.
CONTACTS:
Lone Star College System staff, parents, children, licensing agencies.
COMPLEXITY/EFFORT:
Work requires ability to prioritize, quickly identify and address problems/issues/concerns. Ability to provide education to children and to professionally deal with adults.
WORKING CONDITIONS:
Work is generally performed in air-conditioned environment. Some off hours may be required for special events.
