PURPOSE AND SCOPE:
Under general supervision position provides information and assistance in diagnosis and resolution of problems from multiple individuals and customers. May be in person or through phone inquires. Activities are generally non-routine and require independent judgment to resolve issues. Position refers problems to experts as needed. Primary responsibility involves customer satisfaction with resolution. May track and document problems and report on information. May suggest policy/procedure changes in response to problems. Generally requires specialized training on technical systems as well as problem solving.
ESSENTIAL JOB FUNCTIONS:

Responsible for the input, maintenance and retrieval of information of the DDE Instructor/Prospect database.

Maintains monitors, and ensures the integrity of the CE Workforce Syllabi, Course Textbook and Customer Assessment databases.

Input and scan assessment forms for numerous Instructional Evaluation databases.

Generate bookstore and off-site reports on CE course offerings.

Complete state reports. Maintain and ensure compliance with the Higher Education Coordinating Board.

Maintain, retrieve and interpret statistical data on enrollment, revenue and contact hours.

Respond to routine questions and inquires from clients regarding the status of refunds and discrepancies with student accounts.

Guides staff in the proper use of the CE Refund flowchart.

Verifies CE refund reports from District.

Collects and prepares information for review, discussion and meetings with management, staff, and outside individuals and groups.

Acts as secondary contact person to the site-supervisors at off-site locations.

Create and incorporate the documentation of all tasks; assist in proofing the CE schedule.

Provide backup assistance for others in office/division.
KNOWLEDGE, SKILLS, EXPERIENCE:
Required:
- Three + years related experience (to specialized area) required.
- Ability to utilize computer technology to access data, maintain records, and generate reports.
- Proficient in word processing, spreadsheets, and database management.
Preferred:
EQUIPMENT USED:
PC workstation running on a LAN in a Microsoft Windows environment, printer, photocopier, transcriber, facsimile, scanner, calculator, phone, uses word processing, database and spreadsheet programs, and other general office equipment.
CONTACTS:
Contact with faculty and staff as necessary to carry out the general duties of the position.
COMPLEXITY/EFFORT:
Position requires excellent planning and organizational skills and ability to perform multiple tasks simultaneously. Require above average interpersonal and communication skills. Ability to handle basic mathematical calculations. Confidentiality very important.
WORKING CONDITIONS:
Work is performed in a typically office environment with minimal exposure to safety and health hazards. Physical exertion is typical for office environment.
