Staff Assistant II, Wellness Center

JOB TITLE: Staff Assistant II, Wellness Center FLSA: Non-Exempt
LOCATION: As Assigned GRADE: B21
REPORTS TO: Program Coordinator/Faculty

PURPOSE AND SCOPE:

Under general supervision performs standard and some advanced administrative duties. May report to multiple individuals, customers or may reports to a Department or Division Head. Basic duties may include receiving and logging information, making copies, sorting and distributing mail, preparing correspondence or basic documents, answering routine questions and inquires, providing information and directions and providing a customer friendly environment. Activities are routine but may involve non-routine requests or specialized information.

ESSENTIAL JOB FUNCTIONS:

  • Assists the Wellness Center Program Coordinator and Health Sciences Chairperson with coordinating and/or performing the overall support functions for the Wellness Center and Kinesiology area.

  • Provides reservation information to interested parties concerning facility memberships, facility reservations, etc.

  • Assists the Program Coordinator with maintaining facility space reservation calendar (outside reservations, regularly scheduled classes, inclement weather room arrangements, intramural and club sport reservations, etc.).

  • Assists the Program Coordinator with maintaining the wellness center budget records, including purchases, reconciliation and creation.

  • Initiates requests for and documentation of repairs to the wellness center and associated facilities as needed.

  • Documents and tracks the fitness center memberships.

  • Notifies the Office of College Relations about facility rental and usage.

  • Documents, tracks, and archives the medical history and emergency contact information for faculty, staff and community members and their families.

  • Provides clerical assistance for the wellness center with the publicity of activities associated with the employee wellness program (routine correspondence, memos regarding facility business, spreadsheets, databases, e-mail notices, flyers, posters, mail, appointments, travel arrangements, ordering supplies, document duplication, etc.).

  • Provides clerical assistance for the intramural program with the publicity of the activities sponsored by the intramural/recreational sports department (publicity flyers, email announcements, record retention, registration, etc.).

  • Creates and processes purchasing documents.

  • Tracks facility usage and provide management with usage reports to help with staffing determinations.

  • Assists with scheduling staff to work special events as directed by the Wellness Center Program Coordinator.

  • Builds Kinesiology course schedules as directed by the Health Sciences Chairperson.

  • Distributes and completes adjunct hiring paperwork and secure appropriate approvals.

  • Produces, distributes, collects, and inputs timesheets for all Wellness Center and Kinesiology part-time staff.

  • Assist students, employees and the community in handling their request and providing routine information.

KNOWLEDGE, SKILLS, EXPERIENCE:

Required:

  • High School diploma.
  • One- three years related secretarial work experience.
  • Working knowledge of general office practices and procedures.
  • General working knowledge of personal computer, word-processing software, databases and spreadsheets.
  • Must have excellent interpersonal and organizational skills, oral and written communication skills and customer service skills.
  • Ability to handles multiple tasks with minimal supervision.
  • Ability to work some evenings or weekends if required.

Preferred:

  • Associate's degree or 60 college hours preferred.
  • Experience in the areas of Kinesiology, Fitness, Recreational Sports, Intercollegiate Athletics, Sports Management, or related field.
  • Experience in a community college or educational institution.
  •  First Aid/Safety Training and CPR Certification.
