PURPOSE AND SCOPE:
Performs staff accountant duties, specializing in general ledger and financial report functions; serves as PC User Coordinator for all Business Offices. Follows generally accepted accounting procedures under limited supervision.
ESSENTIAL JOB FUNCTIONS:

Prepares journal entries, cash and inter-fund transfers; calculates pre-paid interest on Bond payments, T-bills, CMO’s.

Reviews journal entries of individual campus accounting clerks; assists with information regarding procedures.

Supervises the work of the district accounting clerk: determines priorities, schedules and assigns work, reviews journal entries, vouchers, reconciliation’s and computations, recommends staffing needs, promotion, transfer or termination, participates in hiring; counsels and evaluates subordinate, recommends and provides training.

Reconciles assigned general ledger accounts (payroll, general bank accounts, due to/from accounts, Cobra payments, etc.); assists accounting clerk in reconciliation of large accounts.

Closes general ledger and prepares financial statements.

Generates periodic reports for district managers and administrators, i.e. monthly campus expenditures and budget status; Continuing Education Quarterly reports.

Ensures NSF checks are handled properly and filed with the Justice of the Peace.

Prepares vouchers for group insurance payments and long distance usage by department; prepares journal entries of campus interdepartmental charges.

Supervises input and final transfer of cash receipts journal to the general ledger.

Recommends procedures for increased efficiency and accuracy.

Assists Treasurer with reconciliation of accounts, budget account set-up/transfer; General Ledger and Chart of Accounts maintenance and on-line computerized transactions.

Assembles information and develops reports and/or worksheets for financial reporting, budget and audit purposes.

Assists with year-end General Ledger closing procedures; prepares year-end accruals.

As User Coordinator, trains campus Business Office Coordinators in proper use of computer language for generation of monthly reports; works with System Analysts in development of standardized reports.
KNOWLEDGE, SKILLS, EXPERIENCE:
Required:
- Advanced training obtained through higher education equivalent to an Associates Degree and/or on the job training in the principles of accounting and computer use in accounting.
- Five to seven years of progressive work experience in accounting.
- Knowledge of current methods of computerized accounting and software.
- Organizational skills.
- Ability to communicate well, both verbally and in writing. Interpersonal skills.
- Good supervisory and training skills.
EQUIPMENT USED:
PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment.
CONTACTS:
Contact with faculty and staff as necessary to carry out the general duties of the position.
COMPLEXITY/EFFORT:
Job involves attention to detail and accuracy; working at a computer; analysis of hardware and software; meeting report deadlines regularly. Job duties require little physical effort.
WORKING CONDITIONS:
Work is performed primarily in a climate-controlled office environment not readily accessible to the general public.
